How to Add or Remove Users in Updox
Turn Patient Portal and Direct Messaging access on or off for your staff — without leaving Amazing Charts.
Updox is the technology behind your Patient Portal and Direct Messaging in Amazing Charts. Whenever someone joins or leaves your practice, you'll want to update who can send and receive messages through these tools — and you can do that from inside Amazing Charts, with no separate login to Updox required.
This guide walks through turning a user's access on or off, from start to finish.

Step by step
Log in to Amazing Charts
Sign in as you normally would, using an account with administrator access.
Open Administrator Options
From the menu bar, click View, then choose Administrator Options. (Keyboard shortcut: Ctrl+A.)
Open Patient Portal and Direct Messaging
In the Practice & Users section, click the Patient Portal and Direct Messaging icon.
Click Activate / Deactivate Users
In the window that opens, find the User Account Creation section and click Activate / Deactivate Users.
Review the user list
A window called Managing User Access to Portal/Direct opens, with one row per staff member. Here's what each column means:

| Name | The user as set up in Amazing Charts |
| Provider Level | Their level of access in Amazing Charts |
| Active | Turns the user's Updox access on or off — this is the checkbox you'll use in the next step |
| Admin | Allows the user to act as an Updox administrator |
| Email Address / Username | The user's email address in Updox |
| Complete Direct Address | The Direct address used to send Transfer of Care documents |
Turn access on or off, then save
Check or uncheck the box under Active for each user: checked means the user is active and can use the portal and Direct Messaging, unchecked means they cannot.
When you're done, click Save in the bottom-right corner, then close the Managing User Access to Portal/Direct window.
Confirm your mapping and link accounts
Back on the Interface Activation window, check the box labeled “I have mapped my Updox users to my Amazing Charts users.”
Then click Link Accounts. This sends your changes to Updox so the users you activated or deactivated are updated there too.
What happens next
Once accounts are linked, active users can send and receive messages through the Patient Portal and Direct Messaging, and deactivated users lose that access. You can return to this same screen any time someone joins or leaves your practice.
