How do I extract my data from Amazing Charts?

We know that access to your clinical data is essential during a transition. Below are answers to common questions about exporting or migrating data from Amazing Charts.

  1. What is the cost for a data extract?
  • If your practice is hosted on our ACitC or vAC platforms, you are entitled to two data exports at no charge annually upon request (one test and one final).
  • On-premises (locally installed) practices may self-export certain data files as often as needed, at no cost.
  • Additional exports or custom exports are billable at $1,000 per request.
  1. What does a standard export include?

Our full export contains:

  • SQL .BAK file (database backup)
  • CCDA export of all patients
  • CSV exports of demographics, schedule, addendums, patient messages, SOAP (signed notes), email table (unsigned notes), meds, immunizations, imported items, rolodex
  • Scanned/imported items in their original format
  1. Enhanced Data Exports
  • PDF of patient encounters may also be requested. When requested, each encounter is exported individually at $0.10 per encounter, max charge $10,000.
  1. Does the process differ if I’m hosted or locally installed?
  • Locally Installed Customers: You can self-export CCDA, demographics, chart notes, rolodex, templates, household addresses, imported items. Walkthrough guides are available. If you prefer Amazing Charts to perform the export, additional fees may apply.
  • Hosted Customers: All requests must be performed by Amazing Charts staff. The first two are included at no charge; additional exports are $1,000 per request.
  1. How is the data delivered?
  • Exports are delivered via Citrix ShareFile, an encrypted portal, or via SFTP.
  • The delivery method may vary based on total file size.
  • Access is restricted to the licensed practice contact on file.
  1. How secure is the transfer?
  • Files are encrypted at rest and in transit.
  • Credentials are provided by Amazing Charts, to the license holder via encrypted communication. These credentials are time-limited and expire automatically.
  • We recommend practices apply their own MFA/retention policies once downloaded.
  1. How long does the process take?
  • Exports typically take 15–20 business days to schedule and complete.
  • The extraction process itself may take several hours or multiple days depending on the database size. For example, a smaller practice may take 2–4 hours, while larger databases with extensive scanned documents may require overnight processing.
  • We will communicate the estimated timeframe once our team evaluates your data and will provide updates throughout the process.
  1. What happens to my data after transfer?
  • Once you confirm receipt, Amazing Charts securely deletes its working copy.
  • Confirmation of deletion is available upon request.
  1. How large is the export?
  • File sizes vary from a few GB up to 100+ GB for larger practices.
  • Practices should ensure adequate local storage.
  1. Who can request or receive a data export?
  • Only the Amazing Charts license holder can request or receive exports.
  • Data is released only to the email address on file for the license holder.
