How to Inactivate or Activate a Patient in Amazing Charts

Amazing Charts never lets you permanently delete a patient's data. But when a patient has passed away, transferred care elsewhere, or simply isn't seen at your practice anymore, you can inactivate their chart instead — it hides them from everyday searches and reports without touching their record.

You can reverse this at any time by reactivating the chart, which makes the patient searchable again right away.

A few things to know first

  • Patient data can't be permanently removed — inactivating only hides the chart from the default view. The record itself stays exactly as it was.
  • As of version 12.4.1, Amazing Charts has no way to inactivate multiple charts at once. Each patient needs to be done one at a time.

Step by step

Open the patient's chart

From the Amazing Charts main screen, open the chart of the patient you want to inactivate or reactivate.

Switch the patient list to "All" if you're looking for an inactive patient

By default, the patient list only shows active patients. If you're trying to find someone who's already inactive, change the filter from Active to All first — otherwise they won't appear in search.

Go to the Demographics tab

At the top of the patient's chart, click the Demographics tab. This same screen is also where you'll find the Inactivate Patient checkbox and the Update Info button you'll use in the next few steps — all three are outlined in red below.

To inactivate the chart, check "Inactivate Patient"

On the right side of the Demographics tab, check the Inactivate Patient box.

A dropdown will appear — choose the reason that fits, such as Deceased, Moved out of state, or Transferred to local doctor.

Some interfaces and practice management connections stop syncing a patient's information once their chart is inactive. That's expected — not a bug.

To reactivate the chart, uncheck the same box

Changed your mind, or was the patient inactivated by mistake? Go back to the Demographics tab and uncheck Inactivate Patient. This immediately makes them searchable again and lets other interfaces use their chart as normal.

Click Update Info to save

In the bottom-right corner of the Demographics tab, click Update Info.

Nothing is saved until you click this button. Checking or unchecking the box alone doesn't apply the change.

If it doesn't work

What you're seeing What to try
I can't find the patient in search Make sure the patient list filter is set to All, not just Active. Inactive patients are hidden from the Active view.
I don't see an Inactivate Patient checkbox Confirm you're on the Demographics tab and not Summary Sheet or another tab in the chart.
I checked the box but nothing changed You still need to click Update Info to save. Checking the box by itself doesn't apply the change.
The patient's info stopped syncing to another system Expected once a chart is inactive. Most interfaces and practice management connections pause updates until the patient is reactivated.
I need to inactivate a large batch of patients Not currently possible in bulk. Each chart has to be inactivated one at a time.
