How to Map an Amazing Charts User in Updox
Connecting a staff member's Updox account to their Amazing Charts login, so the two systems know they're the same person.
Updox keeps its own list of users, separate from the one in Amazing Charts. The same staff member exists in both places, but nothing tells Updox that the two accounts belong to the same person until you say so.
That connection is made in a single field on the Updox user record: EHR User ID. Setting it is what people mean by "mapping" a user. You do this once per person, usually just after their Updox account is created.
Before you begin
| Applies to | Amazing Charts practices using Updox |
| Access required | An Amazing Charts login that is also an Updox administrator |
| Time needed | A minute or two per user |
| Do this when | A new staff member has been given an Updox account, or an existing user was never mapped |
Step by step
Log in to Amazing Charts as an Updox administrator
Sign in with an account that has Updox administrator rights. A regular user login won't show the Admin options you need.
Click Secure to open Updox
This launches the Updox portal in your browser and signs you in automatically.
Click Admin
In the Updox portal, look to the top-right corner and click Admin.
Click Users
The Admin panel slides open with a list of options. Click Users, near the top.
Select the user you want to map
Click their name in the list. The Edit User window opens.
Click the Settings tab
The Edit User window opens on User Information. Click Settings, the middle tab.
Set the EHR User ID
Click the EHR User ID box and choose this person's Amazing Charts user from the list. This is the field that does the mapping.
Set the Default provider, if it applies
Next to EHR User ID is Default provider. Set this for staff who work on behalf of one particular provider, so their items are attributed correctly. Leave it alone if it doesn't apply to this person.
Click Save
The Save button is in the bottom-right corner of the Edit User window. The user is mapped once you've saved.
Checking your work
Reopen the same user and go back to Settings. The EHR User ID box should now show the Amazing Charts user's name rather than Search…. If it does, the mapping saved. Repeat for each staff member who needs mapping — it's set per user, so there's no way to do the whole practice at once.
If something doesn't look right
| What you're seeing | What to try |
|---|---|
| No Admin option in Updox | Your login isn't an Updox administrator. Someone with admin rights will need to do this, or have your account upgraded. |
| The user isn't in the list | They haven't been activated in Updox yet. Activate them first, then map them. |
| EHR User ID list is empty | Close the window and reopen it. If it's still empty, contact support rather than guessing at a value. |
| The right person isn't in the dropdown | Check they exist as a user in Amazing Charts. The dropdown only offers Amazing Charts users. |
| Change didn't stick | The window was closed without saving, or another admin was editing the same user at the same time. Set it again and click Save. |
